This is the Privacy Policy of Hotelli Jämsä in accordance with the Finnish Personal Data Act (Sections 10 and 24) and the EU General Data Protection Regulation (GDPR).

In order to serve you to the best of our ability, it is necessary for us to collect and process some information about you. However, we value your privacy and are committed to protecting it in a responsible and trustworthy manner. This Privacy Policy contains information about what personal data we collect about you, the principles we follow when we process it, and the rights and choices you have regarding your information. Time Hostel will process personal data about you in accordance with this Privacy Policy and applicable law. We reserve the right to update this Privacy Policy as we develop our operations or as legislation changes or requires. We therefore invite you to review the contents of this Privacy Policy on a regular basis. By using our services, our websites or by contacting us, you agree to us processing your personal data in accordance with this Privacy Policy. If you do not agree to these terms, we may not be able to serve you.

3. Legal basis and purpose of the processing of personal data

The processing of personal data is based on Time Hostel’s legitimate interest, contract or other relevant context. The purpose of using personal data is to manage, maintain, develop, analyse and compile statistics on the relationship between Time Hostel and its customers and partners. In addition, the data may be used for marketing, customer segmentation and profiling. The data may also be used to plan and develop Time Hostel’s business operations and services. The data will not be used for automated decision-making or profiling.

4. Data sources and content of the register

The data in the register is collected regularly from the information received from the customer at the time of entering into the contract and during the contract. Data may also be collected from the customer’s website and brochures independently. In addition, data to be recorded in the register may be obtained from messages sent via online forms, email, telephone, social media services, contracts, customer meetings and other situations where the customer discloses their information. Personal data may also be collected and updated from civil registers, credit registers and other similar public and private registers. We also collect data about visitors to our website in order to analyse and improve our website and its performance and to target appropriate and personalised marketing.

The information we store in our register includes:

Full name, company, organisation or entity and the person’s position
Contact information (such as phone number, email address and street address)
Company contact information (including visiting address and email address)

However, at our Company, we limit data collection to that which is necessary and appropriate. Data that is unnecessary or otherwise out of date will be deleted. Personal data is processed only by our employees in the course of their duties. We will not retain your personal data or other information for longer than is necessary for our operations or as required by contract or law. Retention periods for personal data may vary depending on the purpose of use and the circumstances. In principle, data will be stored for as long as it is necessary to maintain the customer or contractual relationship.

5. Regular disclosures and transfers of data outside the EU or EEA

Data is not regularly disclosed to third parties. Data may be published to the extent that has been agreed in advance with the customer or contracting party. In addition, we may occasionally disclose our data in accordance with Finnish law. In principle, data will not be transferred outside the EU, but if necessary, data may be transferred outside the EU or EEA by the Controller. If this happens, we will ensure that the processing, transfer and storage of your data is carried out in accordance with the relevant legal requirements and with adequate safeguards.

6. Principles of register protection

The personal data register is handled with care and caution and the data processed by the information systems is adequately protected. Access to the register is restricted to persons whose essential duties include the use of the register. Each person with access rights uses their personal user name and password for the data storage systems. Stored data, access rights to registers and other information critical to the security of personal data is treated confidentially.

7. Right of inspection and right to request correction

Any person, company or entity in the register has the right to inspect their personal data stored in the register and to request the correction of any inaccurate data or the completion of incomplete data. If the data subject wishes to inspect or request a correction of their personal data, the request must be submitted to the Controller in writing (by email). The Controller may, if necessary, ask the data subject to prove their identity by means of recognised identity documents. The Controller shall respond to the data subject’s request within the time limits set out in the EU General Data Protection Regulation (as a general rule, within one month of receipt of the request).

8. Other rights relating to the processing of personal data

A person in the register has the right to request the erasure of their personal data from the register (“right to be forgotten”). The data subject, company or entity also has other rights under the EU General Data Protection Regulation, such as the restriction of the processing of personal data in certain circumstances.
